Job Summary

The Team
At the Port Coquitlam Family Justice Servic e Centreis looking for a dedicated individual to join our established and dynamic team. You will work alongside a compassionate group of professionals, including 1 Office Manager, 1 Office Administrator, 2 Justice Interviewers, 4 Family Justice Counsellors, and 1 Senior Family Justice Counsellor, all under the guidance of our Local Manager. We work closely together, ensuring a welcoming and inclusive environment for all families.

The Role
As the Office Assistant, you will be the welcoming face of our office, engaging with families and individuals seeking Family Justice Services. Under the guidance of the Office Manager, you’ll play a key role in helping clients navigate their needs, providing crucial information, and facilitating appointments to ensure they receive the support they require. Your role also includes providing confidential administrative support to the public and internal office staff, creating electronic client files and offering other administrative supports to staff. You will contribute to the smooth operation of the office by handling daily administrative and business tasks in support of the Office Manager and other staff.

Qualifications:
Education and Experience Requirements

  • Secondary School graduation or equivalent (e.g., GED) plus a minimum of 6 months of clerical/administrative support experience; OR
  • Experience and/or training in keyboarding, word processing, spreadsheet application, and other standard computer applications including Microsoft Word, Excel, and Outlook.
  • An equivalent combination of education and relevant experience may be considered.

Preference may be given to applicants with:

  • Client service experience in a human service field (e.g., Indigenous organizations, community services agencies, legal services, court services).
  • An administrative certificate or diploma from a recognized post-secondary institution.
  • Experience with data entry into a case management system.
  • Experience and/or training with filing systems or records management.
  • Applicants who self-identify as Indigenous (First Nations status or non-status, Inuit and/or Metis) with the required combination of education and experience.

Proviso:

  • Occasional travel may be required (e.g., training, meetings).

About this Position:
Flexible work options are available; this position may be able to work from home up to 2 days a week subject to an approved telework agreement.
An eligibility list may be established for future temporary and/or permanent vacancies.
