Executive Assistant to President & CEO

Are you an experienced Executive Assistant with board governance experience? Do you have previous experience supporting Senior Executives, familiarity with management and Board processes, excellent communication and interpersonal skills while possessing strong business acumen, poise, and diplomacy? If so, we want to hear from you.

This is 3–4-month contract to cover for a leave. Initially 5 days’ onsite moving to a hybrid model of 3 days onsite and 2 remote working days.

Who – The Company:

What- The Role:

  • Manage the CEO’s calendar, meetings, and travel arrangements.
  • Draft correspondence, prepare agendas, and transcribe meeting minutes.
  • Conduct research and prepare documents for meetings.
  • Liaise with the Leadership Team and Board.
  • Handle expense reports, presentations, and maintain filing systems.
  • Ensure deadlines are met and provide project support as needed.

Board & Governance Support

  • Organize and coordinate Board and committee meetings.
  • Prepare agendas, packets, and minutes for meetings.
  • Ensure compliance with legal and regulatory requirements.
  • Maintain governing documents and corporate filings.
  • Provide logistical support and correspondence for Board Members.
  • Assist with Annual General and Special Meetings, and document outcomes.


Who- the Candidate: 

  • College diploma/Associate degree in Business Administration or related field.
  • 5-7 years of secretarial/administrative experience supporting senior management.
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
  • Strong organizational, communication, and interpersonal skills.
  • Experience with Board processes and governance practices.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving and analytical skills.
  • Ability to work independently and meet deadlines.
  • Must provide a satisfactory Criminal Reference Check/Vulnerable Sector Search.
  • Compliance with mandatory COVID-19 vaccination policy required


How much:
$35-42/hr 4% vacation pay, 35-hour work week
