The Team
You’ll be joining the Deputy Minister’s Office, a well-established team consisting of three key roles: the Administrative Coordinator, the Executive Coordinator, and the Director of Executive Operations. Our team works closely together to ensure that documents for the Deputy Minister and Minister are processed efficiently. We also collaborate with the Minister’s office, senior executive offices, and various correspondence units across government. The Role
In this role, you’ll provide essential executive coordination and confidential administrative support for the Deputy Minister’s office. You’ll work closely with the Minister’s office and senior executive offices to manage correspondence and prepare materials for high-level meetings. Additionally, you’ll handle office administration, technical support, records management, facilities, and asset management, and oversee eApprovals and CLIFF programs. Your work directly supports CITZ’s mission to offer excellent service and create a motivated, engaged workplace. Qualifications:
Education and Experience Requirements

  • Secondary School graduation or equivalent.
  • One (1) year related administrative experience in an office environment;

Related administrative experience must include each of the following:

  • Experience typing, proofreading and formatting a variety of documents.
  • Experience coordinating material and using tracking systems to ensure material is completed within due dates.
  • Experience with records management.

Preference may be given to applicants with the following:

  • Certificate or coursework in business or office administration.
  • Experience scheduling meetings and managing calendars.
  • Experience with CLIFF records management system.
  • Experience using the eApprovals document approval system.

About this Position:
An eligibility list may be established to fill both current and/or future permanent vacancies.
Flexible work options are available; this position may be able to work up to 2 days at home per week subject to an approved telework agreement.
