PURPOSE OF POSITION

The Corporate Development division supports insight-driven and strategic decision-making by Destination BC and its partners, while ensuring the efficient and effective operation of the corporation. Program areas include Corporate Services, People & Development, Research & Analytics, and Corporate Communications.

Reporting directly to the Chief Financial Officer, the Corporate Development Coordinator provides support to the Corporate Development division and is responsible for maintaining strong relationships with Destination BC colleagues and partners, providing information management and project support, facilities and asset management, providing administrative oversight for program’s budget tracking, forecasting and reporting, invoice and contract management, ensuring compliance with program guidelines, and the coordination of meetings and industry events as needed.

SPECIFIC ACCOUNTABILITIES

  • Prepares, monitors and tracks complex contracts, ensuring compliance with established policies; liaises with contractors to provide general work direction & ensure delivery of services in accordance with contract terms and conditions; resolves routine issues and escalates non-compliance;
  • Carry out planning, implementation, and delivery of assigned portions of a project as a formal project team member; support colleagues in development of formal project documentation (e.g., project brief, project charter, status reports, timelines/Gantt charts, budget trackers, etc.);
  • Plans, develops and implements a series of tracking and reporting processes to monitor program and project results;
  • Develops and maintains the information management processes and procedures to enhance Destination BC’s operational efficiency;
  • Develops and delivers information management training and provides advice and direction as required;
  • Provide support on procurement processes, including Requests for Proposals and Requests for Qualifications.
  • Works closely with other Destination BC divisions and program to ensure the efficient exchange of information to support corporate reporting such as Service Plans, Annual Service Plan Reports and Carbon Neutral reports.
  • Liaises with other Destination BC program areas (i.e. Global Marketing, Destination Development, People & Development, etc.) and shares relevant information to facilitate increased collaboration and alignment.
  • Coordinates and organizes delivery of workshops, training sessions, meetings, and conferences within the Corporate Development division.
  • Monitors budgets, prepares month and quarter-end variance reports, processes invoices and monthly purchase card reconciliations, and applies appropriate coding and backup coverage;
  • Leads the Corporate Development division with quarterly financial reporting & annual business planning processes along with each program’s respective financial authority;
  • Proactively identify and act on opportunities to improve processes, procedures, and documentation for the unit;
  • Determines the need for, recommends purchase of, and coordinates the acquisition, transfer and disposal of assets including office supplies.
  • Undertakes facilities planning and provides recommendations on space requirements, office renovations, relocations, maintenance and services
  • Provide support as required on corporate and divisional projects and program priorities;
  • Represents Destination BC at conferences, seminars and workshops as required

  • JOB REQUIREMENTS

  • Diploma in marketing or business and a minimum 3 years’ experience in a tourism related field; or an equivalent combination of education and experience;
  • Minimum 2 years’ experience stakeholder relations development and maintenance;
  • Minimum 2 years’ experience in logistics/planning/organization;
  • Knowledge of project management and change management principles and practices;
  • Proven experience developing contracts and contractor relationship management;
  • Proven experience managing and reporting on budgets, forecasting and financial tracking;
  • Demonstrated experience in preparing written reports and presentations;
  • Demonstrated experience in desktop applications including spreadsheets, database maintenance, presentation software and word-processing (MS Office preferred)
  • Experience using SAP BusinessByDesign or an Information Management System will be considered an asset
