What- the Role:
You thrive on seeing your executive succeed every day. You are a strong assistant who is personable, detail-oriented with above average organizational and prioritization skills. You can act independently, making significant decisions. You must be able to build relationships with employees at all levels throughout the organization as well as handle sensitive situations in a mature and confidential manner. Your natural adaptability allows you to flourish in an environment that often requires nimble rearrangements, and you consistently remain calm, cool and collected while balancing multiple priorities.
- Act as an extension of the CEO
- Maintain smooth flow of executive’s professional life, managing calendar, scheduling of meetings and events
- Establish an online filing system for documents 6 contacts and have the ability to locate at a moment’s notice
- Establish a system to download notes and thoughts from CEO after meetings
- Act as a trusted liaison between the CEO, Board of Directors 6 other key stakeholders
- Organize & coordinate board meetings
- Prepare documents/agendas/ create minutes
- Order food & refreshments
- Responsible for ensuring all details have been secured for meetings along with the executive having all pertinent materials required to conduct or attend their meetings
- Anticipate and assist the CEO in managing and tracking strategic plans & priority projects ensuring deadlines and expectations are met
- Arrange travel Itineraries for the CEO, Including booking flights, accommodations and transportation
- Work closely with the team and integrate fun and joy into the workplace.
Who- the Candidate:
- Minimum 6 years’ experience as an executive assistant to a highly visible, extremely busy leader
- Exceptional communication skills – interaction with various executive levels including, but not limited to, board members and executives internally and externally
- Trustworthy – responsible for handling confidential and sensitive information
- Well versed in the Microsoft Office Suite
- Excellent business acumen and ability to exercise sound judgment and prioritization
- Extremely detailed and quality oriented
- Able to observe and maintain the utmost confidentiality
- Excellent written and oral skills: strong interpersonal relationship and communication skills
- Ability to be resourceful and source details required to carry out tasks as assigned
- Ability to manage multiple projects under tight deadlines
- Personable and approachable at all times
- Values based and in alignment organization’s culture
- Self-driven with a commitment to continuous improvement and personal growth
How Much:
Base salary commensurate with level of experience in the range of $80-85K, extended health, RRSP matching up to 5%, life insurance, LTD, 3 weeks’ vacation, 3 annual education days, generous sick/personal leave
Where:
Vancouver, onsite, remote working conditions when CEO travel.
