Job Summary

The Team
At the Assistant Deputy Minister’s (ADMs) Office: Integrated Transportation and Infrastructure Services Division, we pride ourselves on fostering a close-knit and supportive team environment. Though an established division, we are a newer team made up of the ADM, a Senior Executive Director, a Manager of Division Operations, an Executive Administrative Assistant, and a Document Coordinator. Together, we work to support the ADM and his Leadership Team in their busy roles. Our division includes 10 Executive Directors and their teams, offering opportunities for collaboration both in person and online. We value professionalism, openness, and a strong sense of community, and are looking for team players who are adaptable and committed to making a positive impact in a dynamic, people-first environment.

The Role
As the Executive Administrative Assistant, you will play a key role in managing the ADM’s calendar, prioritizing tasks, coordinating travel and expenses, and supporting time management. You’ll also work with the Deputy Minister’s office, assist in event coordination, and manage briefing materials. This role offers a unique opportunity to sharpen your administrative skills, gain experience in a high-level government setting, and advance your career. It’s perfect for candidates in a CLK 9 or 12 role looking to expand their knowledge and grow within the provincial admin sector.

Qualifications:
Education and Experience Requirements

  • Secondary School graduation, OR certificate in office or business administration.
  • Minimum two (2) years experience managing a demanding calendar by determining priorities and urgent situations, scheduling and coordinating appointments, meetings, travel arrangements, and compiling meeting materials.
  • Minimum one (1) year experience working in a confidential capacity in an office environment.
  • Minimum three (3) years experience using Microsoft applications in an office environment (e.g. MS Outlook, MS Word, Excel, and PowerPoint).

Preference may be given to applicants with one (1) or more of the following:

  • A diploma or higher in office or business administration.
  • Minimum one (1) year of experience working in an executive environment (e.g., Executive Director, Assistant Deputy Minister, or Executive Director).
  • Experience using correspondence tracking systems such as: CLIFF and eApprovals.

Flexible work options are available; this position may be able to work from home up to two (2) days a week subject to an approved telework agreement.
