MISSION STATEMENT:

Reporting to the Branch Manager and a dotted line to the People and Culture Regional Manager, the Office Administrator will be providing administrative, clerical, and front-line support in a fast-paced, ever changing environment. This role consists of a wide range of supportive administrative duties and is perfect for someone who is looking to launch their career in People and Culture.

KEY ACCOUNTABILITIES:

•Answer telephones in a friendly and professional manner before routing to the appropriate department.
•Professionally greet all visitors to Paladin’s office and ensure they check in and adhere to Paladin’s visitor policy.
•Check in and set up all prospective security officer candidates for interviews.
•Contact new applicants to conduct telephone screens and interviews.
•Facilitate new hire onboarding by following Paladin’s onboarding processes.
•Receive, scan and upload employee documentation to electronic personnel files.
•Submit online requests for criminal record checks for prospective new employees
•Develop and maintain professional relationships with all staff in the Kelowna office.
•Take responsibility for overall cleanliness of the office and act as the primary point of contact for cleaners.
•Manage uniform inventory, ensure uniform room is clean and organized, issue uniforms to security officers and collect uniforms from officers no longer with the organization to prevent risk of harm to the community.
•Assist with issuing final paychecks to employees
•Submit orders for office supplies as needed.
•Create cheque requisitions for invoices to submit to Accounts Payable.
•Manage booking for the office’s apartment suite and ensure suite is tidy prior to visitors arriving.
•Manage access control for the office, including programming access cards and alarm codes.
•Receive and distribute mail, faxes and inventory deliveries and arrange for shipments and couriers.
•Scanning, filing, data entry and other administrative duties as required.
•Support the Branch Resource Coordinator and scheduling aspects of the business as required.
•Support with Branch events, culture initiatives (24 hours of Thanks, 4 Seasons of giving…etc)
•Support P&C Generalist with ad hoc duties as assigned

EDUCATION, SKILLS, AND QUALIFICATIONS:

•Education or related experience in the field of Office Administration and/or Human Resources.
•High School Diploma/GED
•Exceptional proficiency with PCs including Office 365, Outlook, Word, and Excel.
•Proficiency or willingness to be trained in a variety of software and programs used by Paladin.
•Professional appearance and demeanor.
•Organization and time management skills.
•Excellent interpersonal and customer service skills.
•Ability to work as a key member of a small team of professionals and manage allocation of time between multiple departments.
•Valid driver’s license and access to a reliable vehicle highly preferred

Salary range: $45,000k
The successful candidate will work at our Kelowna Branch #227 – 1891 Springfield Road, Kelowna BC, V1Y 5V5 from Monday to Friday 8:30 AM to 5:00 PM (except STAT holidays).
