Corporate Policies and Procedures is responsible for writing, publishing and maintaining corporate policies, standards, operating procedures and manuals for BMO Financial Group. This includes publishing an average of 3000 documents per year and an average of 370 projects in English and French.

What is the opportunity?

The Online Publication Coordinator is accountable for coordinating the online delivery of Circulars, Corporate Policies, Corporate Standards, and Operational Procedures through translation and publication in accordance with the agreed upon dates for initiatives within existing standards. The role is accountable for updating and maintaining databases, and controlling records on the status of assigned initiatives, P&P topics and providing reports as requested. The role will update and maintain the Corporate Policies and Procedures SharePoint site.

This role will also be responsible for managing some technical writing as required; including the development of Circulars and other accurate documentation of operational procedures to provide bank-wide users with effective information that increases their knowledge of the bank’s products, services, processes and policies and assists them in delivering a great customer experience while ensuring legal and legislative requirements are met.

This role will also complete Nimbus Process Map Assessments to support the overall operational effectiveness of Process Optimization, Integration and Technology Experiences (POINTE).

What will you do?

  • Act as “Webmaster” for Enterprise operational procedures and Circulars for the Corporate Policies and Procedures intranet site and all editions of the Portal, ensuring that information is presented in a clear, consistent and timely manner.
  • Establish and maintain a process to ensure integrity of system for published and archived files. Maintain the banks historical archives of published Circulars, and Policies and Procedures for 10 years to enable accurate and reliable reconstruction of any previously published policy or procedure during that time period.
  • Monitor application infrastructure (production and development servers, conversion and presentation servers for online Policies and Procedures) for availability 24/7, resolving issues as required.
  • Proactively maintain department databases for records on status of assigned initiatives and P&P topics. Assist in the development of Circular and Policy, Standards and Operational Procedures timelines as it relates to translation, publication requirements and database maintenance.
  • Provide technical writing as required; including the development of Circulars and other accurate documentation of operational procedures.

What you bring to the table

  • Knowledge: This position requires a communicator that has 2-3 years online experience managing and publishing content for the internet/intranet. A degree or post-graduate diploma in web publishing, communications or related discipline is recommended.
  • Specialized skills: This role requires a well-organized communicator that has the ability to project manage the workflow of multiple initiatives at once with varying deadlines and complexity. This role requires strong proof reading skills as well as database management experience.
  • Other skills: This position requires a solid understanding of the bank and corporate structure as well as the sales force and branch network. This position also requires solid experience with standard office software, including Word, PowerPoint, Excel, Access, Lotus Notes, and Outlook. Knowledge and post experience using intranet technologies and processes including HTML editing tools, web graphics, multi-media tools, Active Server Page (ASP), Java, content management publishing tools and SharePoint.

$44,500.00 – $82,500.00

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position.
