Job Summary
The Team
Working within the Vancouver Coastal SDA admin team at the Ministry of Children and Family Development, we’re a tight-knit group of four administrative staff members and one office manager, dedicated to making a difference in the lives of children and families. We proudly support key programs like guardianship, resources, CYSN (Children and Youth with Support Needs), CYHM (Children and Mental Health), and youth justice, as well as Family Services, Intake and Child Protection services. Collaboration is at the heart of what we do. We work hand in hand with social workers, clinicians, and the executive team to provide the essential support they need. By streamlining processes and managing administrative tasks, our team enables our colleagues to concentrate on their core responsibilities. Knowing that our efforts contribute to better outcomes for vulnerable minors brings us a deep sense of purpose and fulfillment in our roles.
The Role
This position primarily focuses on providing day-to-day program support within the social services office. Reporting to an Office Manager, the role involves receiving direction from social worker team leads, social workers, and social worker assistants, serving as the point of contact for client intake. The job requires in-depth knowledge of various programs, including mental health, child protection, guardianship, and adoption, which may involve supporting a broad range of initiatives. Responsibilities include records management and financial oversight, as well as understanding how the social services office interacts with external service providers, community organizations, and other public service entities. This role is vital in delivering much-needed care and support to vulnerable minors, helping to save lives and ensure they receive the attention and assistance they deserve.
Qualifications:
Education and Experience Requirements
- Grade 12 graduation or equivalent.
- One year of administrative support experience in an office environment.
- Six months experience working in a computerized environment using various computer applications and data bases. (For example: Microsoft Office applications including Word Excel, Outlook, Lync) for word processing, spread sheeting, data entry, email and video teleconferencing; and case management or other database applications.
- Six months experience providing quality customer or client service, carrying out duties and responding to client needs in a professional manner.
- Six months experience working independently and as a team member with a multi-disciplinary environment and with other professional staff, client, and service providers.
- Experience with typing with a keyboard speed and accuracy at approximately 40 – 50 words per minute
Preference may be given to applicants with:
- Three months administrative experience working with vulnerable children and families in a human/social services setting.
- Three months experience using applications: Integrated Case Management (ICM) and/or Management Information Systems (MIS) computer applications.
- Completion of an Administrative Business Skills course or program.

- Willingness to work with families facing challenges which may occasionally involve exposure to unpleasant dealings with angry, abusive, or abused clients; exposure to hazards from frequently working around volatile parents and/or children in crisis.
