The Asset Management and Logistics team, which sits in the Project Delivery Excellence (PDE) function within WSP Canada, is seeking a dynamic and experienced Senior Coordinator, to assist the Vice-President, Asset Management and Logistics, with the implementation project of a new Equipment Management Software (Asset Infinity) and various other tasks.

What you can expect to do here:

  • Provide support to the Asset Management and Logistics team in the delivery and implementation of this new software and related requirements.
  • Participate in project meetings and follow-up with the key project members, to ensure deliverables are completed.
  • Coordinate the preparation and distribution of project deliverables to support project execution and delivery.
  • Assist with set-up of the new software.
  • Ensure department files are kept up to date using specified document control system.
  • Assist and support the VP with the implementation of WSP HSEQ requirements as applicable to the department.
  • Coordinate with internal stakeholders to build procedures and workflows.
  • Provide support to ensure timely translation of documents using established process.
  • Collaborate with multidisciplinary teams across all WSP as required.
  • Interface with the Finance team to ensure compliance with client invoicing requirements, prepare invoices and assist with facilitation of timely payment, when required.
  • Assist with the departmental budget and track expenditures.
  • Coordinate staff meetings, team communications, written and verbal, and document key meetings, interactions and activities.
  • Coordinate logistical requirements for the team such as travel and mobilization.

What you’ll bring to WSP:

  • Analytical mind, problem solving ability and attention to detail.
  • Good judgement and autonomy.
  • Collaborative experience and team player attitude.
  • Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook, etc.).
  • Bilingual spoken and written (French and English) (an asset).
  • Intermediate accounting/ financial knowledge.
  • Autonomous, sense of initiative and attention to detail.
  • Ability to work in a team and across functions.
  • Result-oriented approach with the ability to act, make decisions and influence outcomes.
  • Exceptional detail orientation, organizational skills and the ability to prioritize competing tasks to meet right deadline and client expectations.
  • Experience in asset management system implementations highly desirable
  • A university degree or diploma in related field (or an equivalent combination of academic and practical experience).
  • Minimum 5 years of experience in a similar role.
  • CAMP designation Project Management Professional (PMP) or similar certification highly desired.
